And while every event is different, one thing stays the same: no one day in project management ever looks quite like the next.

“Calm on the surface”

For Ellie, project management can be summed up in one phrase: “Swan-like” – gliding on top, but furiously paddling underneath. 

It’s probably the most accurate description of life behind the scenes in events.

Because while guests see the finished experience, the reality backstage is fast-moving and constantly evolving. Plans change. Priorities shift. Problems appear out of nowhere and solutions need to happen quickly.

That pressure is exactly what makes the role exciting for so many of the team.

As Phoebe explains: “You can be building project plans, on back-to-back client calls, out on site visits, or waking up in one country and ending the day in another.”

Some days are spent behind a laptop. Others start on a plane or a train and end onsite. Most involve a bit of both.

There’s no routine and no predictable schedule. That unpredictability is part of what keeps the industry exciting, even after years in the role.

“We solve problems you didn’t know existed”

Project Management sits at the centre of every event.

The role connects clients, creatives, production teams, suppliers and venues, keeping every moving part aligned from the first briefing call to final pack down.

A huge part of the job is spotting and solving issues before anyone else even notices them.

Amy puts it best: “We solve problems you didn’t know existed, often before you even notice them.”

Sometimes that means managing complex logistics across multiple countries. Other times it’s finding a last-minute solution onsite five minutes before doors open.

For Ellie A, some of the most memorable moments come from the simplest fixes: “Last-minute prints, sharpie fixes, sourcing entertainment on the fly, sometimes the simplest solution is the most effective.”

It’s a part of the role most people never see, but it’s where some of the team’s best work happens. 

“No two events are the same”

Variety is one of the reasons people stay in the industry. Every client is different. Every venue is different. Every audience brings something new.

For Ellie B, that’s exactly what makes the role rewarding: “No two events are the same. That fast-paced energy is what makes it so rewarding.”

Over the years, the team has delivered everything from large-scale conferences and gala dinners to international programmes and immersive brand experiences.

From intimate leadership events to large-scale international conferences, every event matters. The team approaches each project with the same level of care, becoming an extension of their clients’ teams and working as trusted partners from the first briefing through to the final pack down.

One standout memory for Phoebe is a multi-day event in Barcelona:“High pressure, high reward, VIP speakers, an incredible venue and a flawless multi-day experience.”

And for Laura, some of the proudest moments come at the very end of delivery: “Seeing people genuinely enjoying something you’ve built from scratch.”

Those moments are often what make the long days, travel and pressure worthwhile.

“We’ve got this”

In events, culture matters.

Long days onsite, changing deadlines and high-pressure environments demand a strong level of trust within the team.

Project management requires organisation and resilience, but it also relies on knowing the people around you will step in whenever needed.

That support is often what makes the difference during the busiest periods. Whether it’s solving problems together onsite, helping with last-minute changes or simply keeping morale high during long delivery days, there’s a real sense of teamwork behind every event. As Amy says: “We’re incredibly supportive of each other.”

That trust and reliability is something the whole team values, especially when the pace picks up. Ellie B describes it simply: “It’s a strong team. I know I can rely on them whenever I need to.”

And while the work can be demanding, there’s also plenty of humour along the way. Event weeks often run on strong coffee and quick pep talks when the pressure is on. As Laura puts it: “A lot of humour, a bit of venting and plenty of ‘we’ve got this’ energy!”

Once the final guest leaves and pack-down is complete, the team finally gets a chance to pause, reflect and celebrate what they’ve achieved together. For some, that means team photos and stories from onsite. For others, it’s heading home to slippers, a cup of tea and a well-earned reset before doing it all again.

Looking Ahead

Thirty years in, the industry continues to evolve at pace.

Technology, AI and changing audience expectations are reshaping how events are delivered and experienced, but the goal remains the same: creating experiences that bring people together.

For Ellie A, the future is about balance: “More technology, more AI, but always balanced with real human connection.”

And despite how much the industry changes, the team’s mindset stays consistent. As Amy puts it: “There’s always something new to learn, new challenges to take on.

”For Ellie B, the biggest source of pride is simple: “What I’m most proud of is the quality we produce, every time.”

Because while guests may only see the finished event, it’s the people behind the scenes who make those moments possible.

And as the industry continues to evolve, it’s that same passion, adaptability and teamwork that will shape the next 30 years of events.
